For it & managed services firms

Catch every renewal and upgrade before the client shops around.

Most growth in managed services comes from clients you already have, and the signals are scattered across contracts, inboxes and calendars. We build and run the renewal, expansion and follow-up work your team means to do, inside your CRM, inbox and calendar. Nothing reaches a client until someone on your team says yes.

Done: Renewal brief saved to HubSpot

  • Renewals, prepared 90 days out. Each contract arrives with a brief on what you delivered, what changed at the client and what to propose next.

  • Upgrades, spotted early. New offices, new hires and new compliance needs are flagged with a brief on the project they lead to.

  • Every assessment gets its follow-up. Audits, assessments and proposals are followed up on time, drafted in your voice and waiting for approval.

Built around how managed services grow.

Renewals, expansion and the occasional new logo. Four workflows keep each of them moving while your engineers stay on client work.

  1. Renewal prep

Walk into every renewal with the story ready.

Ninety days before each contract renews, a brief arrives with what you delivered, what changed at the client and what to propose, so renewals aren't a scramble in the final fortnight.

  2. Expansion signals

Know when a client needs more before they look elsewhere.

Clients are watched for the moments that mean new work: a new office, a hiring push, an acquisition, a new compliance requirement. Each arrives with a brief on the project worth proposing.

To James Okoro, Operations Director, Tern Legal

Your security assessment: the three fixes that matter most

Hi James, thanks again for the time last week. Of the issues we found, three carry most of the risk: multi-factor sign-in for remote staff, the unsupported file server and offsite backups. Would 20 minutes on Tuesday help you plan them before your insurance renewal?

  4. Account brief

One page on every account, every Monday.

Which renewals are coming up, which clients show signs of growth or risk and which need a call, sent before the week starts so account reviews begin with decisions.

How it starts.

One workflow at a time, starting with the one that matters most to your firm.

  1. 01Audit

One free working session on where your growth comes from, where renewals and proposals stall and what that costs. You get a written diagnosis and the one workflow worth building first.

  2. 02Build

We build that workflow inside your CRM, inbox and calendar, on your playbooks and in your firm's voice. Two or three agents, live in about 15 days.

  3. 03Operate

Your operator runs it every day, fixes what breaks and reports what moved. Someone on your team approves anything client-facing.

  4. 04Improve

Every edit your team makes teaches it. When the first workflow earns its keep, we add the next one.

Questions

More on cost and fit in Pricing.

Will anything reach a client without our approval?

No. By default, every client-facing message waits for an account manager or owner to approve it, with the draft, the recipient and the reason in front of them.

Does it work with our PSA and other tools?

We build inside the CRM, inbox and calendar you already use. If contracts and renewal dates live in a PSA, the audit covers how we connect to it, and we only promise an integration once we've confirmed it works.

We already run quarterly reviews. What changes?

The preparation. Each review arrives with what you delivered, what changed at the client and what to propose, so account managers walk in ready instead of building decks the night before.

What happens to client information?

It stays in your tools. Access is scoped to each agent's job, credentials are encrypted, we don't train models on your data, and you can export or delete everything.

What does it cost?

The Growth Audit is free. If you go ahead, the launch sprint is a fixed fee from $3,999, with your first two or three agents live in about 15 days. Running and expanding them starts at $4,999 a month for up to five agents. Model and API costs are included.

Grow the clients you already have.

One working session on how your firm wins work, then a written diagnosis and the one fix worth building first.
