Scheduler: an AI agent that offers times and books the meeting from the first reply

The scheduler handles the back-and-forth of booking a meeting. When a prospect replies with interest, it offers times from the right people's calendars, books the slot they choose, sends the invite to the right attendees and logs the meeting in your CRM. Reps see the meeting in their calendar instead of trading five emails.

We design every agent around how you sell. This page shows our starting design for this one.

When it runs
When a prospect replies to a rep's email asking to meet, or picks a time.
Works in
Your reps' Google or Microsoft calendars and mailboxes, your scheduling tool and your CRM.
Waits for a person
Messages to the prospect, by default. Bookings and invites follow the rules you set.
How you know it works
Time from an interested reply to a booked meeting, no-show rate, and meetings booked per rep.

What it does

  1. Spots replies that ask to meet, suggest a time or ask for a link.
  2. Checks the calendars of the rep and anyone else who should join, such as a sales engineer.
  3. Drafts a reply with times that suit both sides, in the prospect's time zone.
  4. Books the slot the prospect picks, sends the invite and adds the video link.
  5. Logs the meeting in your CRM and sets up meeting prep for the day of the call.

What it hands your team

Sample

Northwind Logistics: Marcus asked for a call next week

Offered
Tuesday 10:00 or Thursday 14:00 Central. Your sales engineer is free for both.
Booked
Thursday 14:00. The agent sent the invite to Marcus, Jen Ota and your team.
Next
The meeting is in Salesforce. Meeting prep will brief the rep on Thursday morning.

Example output. The companies and people are made up.

Questions about the scheduler agent

How is this different from a booking link?

A booking link puts the work on the prospect. The scheduler replies in the thread the way an assistant would, brings in the right colleagues and logs everything in your CRM. Reps can still send a link when a prospect asks for one.

Does it handle time zones and reschedules?

Yes. It writes times in the prospect's time zone and handles reschedules and cancellations in the same thread.

What if the prospect wants someone else on the call?

The scheduler adds them to the invite and checks their time zone. If the new person is on your side, it checks their calendar too.
